Indexing to organize permanent collections is of fundamental importance to guarantee the memory and scientific, cultural, social and political testimony of any institution, with a view to recovering this information. The objective of this article is to analyze the process of indexing permanent collections in public institutions. This proposal was achieved through the use of a questionnaire, structured in the form of open, closed, multiple-choice questions and sent by e-mail to the archivists of the collections of the Federal University of Minas Gerais; Federal university of Bahia; Federal University of Paraná; Federal University of Pará; and the Public Archives of the State of Pará. The results showed that the archivists of the researched institutions rarely use resources to compose the process of indexing permanent documents, such as predefined guidelines, preparation of manuals or catalogs, use of Software, field to include terms and references; among others and, to make matters worse, archivists know little about indexing instruments. It was concluded that the subjects of this research do not use the archivist tools to index the documents of permanent collections, whose most evident cause is the absence of a policy aimed at this segment and, therefore, the archivists lack tools to apply in their work. , even though these professionals resort to alternative forms of representation to recover information: the foundations of Information Science and the Brazilian Norm of archivist description.
